UpKeep builds mobile-first maintenance and asset operations software used by thousands of companies to run work orders, preventive maintenance, and asset management. But while the product modernized maintenance for its customers, the finance function ran on legacy tooling of its own: five disconnected Google Sheets tracking revenue, operating expenses, and financial planning data. The fragmented setup made version control challenging, created security vulnerabilities, and made real-time scenario planning difficult and monthly reforecasting effectively impossible. Variable people costs — benefits, bonuses, and commissions — were especially hard to manage.
The team evaluated platforms including Adaptive, Abacum, and Mosaic. UpKeep also considered whether custom AI-driven workflows could replace a dedicated planning platform, but concluded that core FP&A infrastructure required stronger reliability, governance, and maintainability.

UpKeep needed more than a spreadsheet replacement. The finance team needed a planning platform that could bring revenue, headcount, expenses, and cash together in one model — while still giving the team enough flexibility to reflect the way UpKeep actually operates.
Una AI stood out for its combination of configurability and partnership, backed by a founding team with deep expertise in planning software. UpKeep could work directly with the Una AI team, build planning dimensions and scenarios around its business, and support a revenue-planning roadmap tied to Salesforce Revenue Cloud. For a lean FP&A team, that direct collaboration mattered: the platform needed to be powerful enough to centralize planning, but flexible enough to evolve as the business changed.
Today, UpKeep uses Una AI as its core planning foundation across headcount, expense, revenue, and cash planning. Instead of managing assumptions across disconnected files, the finance team can model changes in one place and understand their impact across the business.
Replacing five disconnected spreadsheets with Una AI gave UpKeep one planning model for headcount, expenses, revenue, and cash. The shift resolved version-control issues, reduced security risk, and gave the finance team a faster way to test scenarios without manually reconciling multiple files. Monthly reforecasting — once effectively impossible — now takes one hour, and the team refreshes its ARR and EBITDA forecast weekly, giving leadership a real-time view of the quarter and year.
The impact showed up in day-to-day decision-making. Early in the quarter, Una's visualizations surfaced a gap against a key company objective, giving the team time to adjust spending and deal management early. Quick changes, instant impact analysis, and clean historical data have turned planning from a maintenance burden into a decision-making tool.
Una avoids the rigid constraints of other software. We have dimensions and scenarios that are distinct to our business — and a partner that iterates with us.
